Clinic Policies

At Maple Valley Veterinary Center, we are committed to providing compassionate, high-quality care while creating a safe and respectful environment for our patients, clients and team members. The following policies help us provide efficient service and the best possible experience for everyone.

Appointments and Scheduling

We see patients primarily by appointment to ensure each pet receives the time and attention they deserve. Upon scheduling your pet’s appointment, you should receive an email that contains a form to fill out about the nature of your pet’s visit. We kindly ask that you fill out the form and return it to us prior to your pet’s appointment or arrive 10 minutes early in order to fill out the paperwork in person. Please arrive on time for scheduled appointments. Arrivals more than 10 minutes late may be asked to reschedule depending on the day. We do reserve several drop off and urgent care appointment slots daily in order to see our sick patients in a timely manner.

If you need to cancel or reschedule an appointment, we ask for at least 24 hours’ notice whenever possible. No-call, no- shows or multiple canceled appointments will result in being asked to pay a non-refundable scheduling fee to book future appointments.

New Client Scheduling Fee

To reserve appointment times for new clients, a non-refundable scheduling fee is required when booking your first visit. This fee will be applied toward your appointment balance at the time of services. This policy helps us reduce missed appointments and ensure appointment availability for patients in need of care.

Surgery Scheduling Fee

A non-refundable scheduling fee is required when booking surgical procedures and certain advanced diagnostics. This fee secures your pet’s procedure date and will be credited toward the total cost of services performed. Since surgical appointments require dedicated veterinarian time, staffing time, and occasionally costly specialty equipment orders, missed or canceled procedures without adequate notice may result in forfeiture of the scheduling fee.

Rabies Vaccination Policy

For the safety of our patients, clients, and staff, all dogs and cats must be current on rabies vaccination. If your pet is not currently vaccinated for rabies, the vaccine may be required during your visit unless a medical exemption is approved by our veterinarian. Please provide our team with any prior vaccine records.

Prescription Refill Policy

Prescription refill requests require veterinarian approval. Please allow 24-48 hours for processing of medication and food refill requests. Some medications may require an examination or lab work prior to refills being authorized.

We kindly ask that you choose to have your pet’s prescriptions filled in the clinic or through our online pharmacy. This way, your purchase directly supports a small, local, female owned business. Your pet’s prescriptions are coming from a trusted source, they have been properly stored, and we can ensure their safety and proper dosing. For these reasons, we have chosen not to work closely with any outside pharmacies. If you choose to fill your pet’s prescriptions through an outside pharmacy, please pick up a written prescription from us and take it with you to the pharmacy of your choosing or mail the prescription directly into them.

Payment Policy

Payment is due in full at the time services are rendered. We accept all major credit cards, Apple Pay, debit cards, cash, Cherry and CareCredit as third-party financing options. Treatment plans and estimates are available upon request before services are performed.

Patient Safety

All dogs must be secured on a leash, and all cats and exotic pets must be transported in an appropriate carrier while in the clinic. This helps to ensure the safety and comfort of all patients and clients.

Respectful Environment

We strive to maintain a positive and respectful environment for our team and clients. Abusive, threatening, or inappropriate behavior toward staff or other clients will not be tolerated. Thank you for trusting us with your pet’s care. Our goal at Maple Valley Veterinary Center is to provide exceptional veterinary medicine with kindness, communication, and compassion every step of your pet’s health journey.
